CloudLaundry (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal data in compliance with the Nigeria Data Protection Act 2023 (NDPA) and other applicable laws.

This Privacy Policy explains how we collect, use, disclose, store, and protect your information when you use our website, POS & inventory system, mobile apps, SMS/WhatsApp integrations, or any related services (“Service”).

By using the Service, you consent to the practices described in this Policy.

1. Information We Collect

We collect the following types of information:

  • Account & Business Data: name, email, phone number, business name, address, bank details (for payments), logo, and other registration information.
  • Customer Data you input: names, phone numbers, addresses, order details, clothing descriptions, photos (if uploaded), payment records.
  • Usage & Device Data: IP address, browser type, device ID, operating system, pages visited, time spent, referral sources, and analytics data (via Google Analytics).
  • Payment Data: processed securely via third-party gateways (we do not store full card details).

2. How We Use Your Information

We use your data to:

  • Provide, maintain, and improve the Service (POS processing, inventory tracking, notifications)
  • Send transactional SMS/WhatsApp alerts (order ready, delivery updates) — you must obtain customer consent
  • Process subscriptions, payments, and refunds
  • Communicate support, updates, security alerts
  • Comply with legal obligations (NDPA, tax laws, court orders)
  • Prevent fraud, abuse, and unauthorized access

3. Lawful Basis for Processing

Under the NDPA, we process personal data on the following bases:

  • Contract: to provide the Service you subscribed to
  • Legal obligation: tax, anti-money laundering, court orders
  • Legitimate interests: fraud prevention, service improvement (balanced against your rights)
  • Consent: marketing emails (you can withdraw anytime)

4. SMS & WhatsApp Notifications

When you use our notification features, we send SMS/WhatsApp messages to your customers on your behalf. You are the data controller for those messages and must:

  • Obtain explicit opt-in consent from customers
  • Provide clear opt-out instructions
  • Comply with NITDA guidelines and telecom regulations

We act only as a processor and do not use customer phone numbers for our own marketing.

5. Data Sharing & Third Parties

We share data only when necessary:

  • Payment processors (e.g. Paystack, Flutterwave) — only transaction data
  • SMS/WhatsApp gateways (Twilio, Termii, etc.) — only for sending your notifications
  • Analytics providers (Google Analytics) — anonymized usage data
  • Legal authorities — when required by law

We do not sell your personal data or customer lists to third parties for marketing.

6. Data Security

We implement reasonable technical and organizational measures, including:

  • Encryption in transit (TLS 1.3) and at rest
  • Access controls, regular security audits
  • Daily backups with retention limits

However, no system is 100% secure. You are responsible for securing your account credentials.

7. Data Retention

We keep your data only as long as necessary:

  • Active accounts: duration of subscription + 12 months after cancellation (for dispute resolution)
  • Legal/tax records: 7 years (as required by Nigerian law)
  • Anonymized analytics: indefinitely

8. Your Data Rights (Under NDPA)

As a data subject, you have the right to:

  • Access, correct, or delete your personal data
  • Object to or restrict processing
  • Withdraw consent (where consent is the basis)
  • Data portability (in structured format)
  • Lodge a complaint with the Nigeria Data Protection Commission (NDPC)

9. International Transfers

Some of our service providers (e.g. cloud hosting, SMS gateways) may be located outside Nigeria. We ensure appropriate safeguards (e.g. standard contractual clauses, adequacy decisions) are in place as required by NDPA.
